Handling transportation for the Kansas City Chiefs and the Philadelphia Eagles during Super Bowl LIX in New Orleans was no small task. While the game itself lasted only a few hours, Hotard Coaches spent months meticulously planning and coordinating to ensure flawless execution during one of America’s most celebrated sports events.

With over 100,000 visitors flooding New Orleans for the game and week-long festivities, transportation logistics became mission-critical. Hotard Coaches, operating across Louisiana and Texas, stepped up to the challenge, seamlessly navigating the complexities of game-day mobility and more.

Planning Months in Advance

Hotard Coaches hit the ground running well before the 2024 NFL season even began. According to Julie Chalmers, Vice President and General Manager at Hotard Coaches, early preparation is key.

“The company that books all the buses made their first visit here early in 2024,” Chalmers shared. “They don’t book anything at that point but start evaluating options. It’s a long process, and we’re working toward it all year round.”

The effort extended far beyond game-day shuttles for players. Hotard’s expertise included managing transportation for sponsors, security teams, and additional clients attending the big game. Trisha Fridrich, Vice President of Business Development at Hotard’s parent company, All Aboard America Holdings, underscored the importance of this work.

“When you think about the economic impact the Super Bowl has on New Orleans, it’s not just the football game,” said Fridrich. “It’s everything around it. We aim to maximize the value of events like this, not just for us but for the city as a whole. Events like these have a meaningful impact on our revenue.”

Expertise Backed by Experience

Hotard Coaches’ extensive NFL experience prepared them well for the Super Bowl’s high stakes. However, as Chalmers explained, this event requires an unmatched level of coordination.

“We handle transportation for NFL teams throughout the year, but the Super Bowl is a completely different beast,” she said. “The level of planning, security, and coordination required for this one game is unparalleled.”

Their previous success during the 2013 Super Bowl helped Hotard brace for the logistics of 2025. Still, every Super Bowl is unique.

“New Orleans has changed, the NFL’s security protocols have evolved, and transportation logistics have become even more complex,” noted Chalmers.

Ensuring operational efficiency meant juggling dozens of moving parts—including a fleet of 10 buses per team—while continuing to serve their regular clients.

“You want to take care of all your regular customers and make sure the people who book with you year-round are still being served,” Chalmers added.

Collaborative Success

Logistical success hinged on collaboration. Before Super Bowl week, Hotard met with law enforcement units from New Orleans, state and parish police, and NFL security to align on strategy.

“Everything was directed around, ‘What do our drivers need to do to make this successful?’” Chalmers explained. “Each group addressed the drivers, answered questions, and having those face-to-face meetings really helped once the teams arrived.”

Flexibility also played a significant role. Chalmers emphasized the importance of adapting to daily changes, stating, “Schedules changed daily. You might have a rough idea of what’s going to happen, but it’s really the night before that you know what you’re doing the next day.”

Last-minute adjustments came with the territory. Fridrich recalled, “We had to add buses at the last minute for the Secret Service when President Trump decided to attend.”

Strict security protocols added complexity. Driver backgrounds had to be cleared, and information about each bus—including its make, model, and age—was required in advance.

A Dream Job for Drivers

Super Bowl assignments were not just a job for drivers—they were a career highlight.

“One of them told me, ‘This is absolutely the highlight of my career,’” shared Chalmers. “Many drivers spend hours waiting for their groups at casinos or parking lots, so to be involved in something of this magnitude was special.”

Drivers even got to step inside the stadium for a brief time, experiencing the electric atmosphere of the Super Bowl.

“It was a once-in-a-lifetime moment for many of them, getting to be a part of the atmosphere and excitement,” Chalmers said.

Beyond Logistics – Brand Excellence

Hotard Coaches made a lasting impression, not only for its operational success but also for its polished image.

“Our buses looked great going down the street,” Chalmers said. “Our bus washers and detailers were coming in at 4 a.m. to ensure everything looked pristine, from shiny tires to spotless interiors. Our uniform coordinator made sure the drivers looked sharp. It was a full team effort.”

Industry credibility was another crucial factor that secured Hotard the Super Bowl contract.

“They look at what associations you are part of,” Chalmers explained. “We’re members of UMA, ABA, South Central Motorcoach Association, and IMG. It makes a difference because it shows you’re serious about the service you provide.”

Events such as the UMA EXPO also play a vital role, as Fridrich highlighted. “It’s not just about being a member; it’s about actively participating. Meeting industry peers, sharing insights, and staying updated on the latest helps us remain at the forefront of the industry.”

Hotard’s reputation for excellence extended internationally. Chalmers noted how people from afar reached out to commend the brand.

“You have people texting and emailing you from around the world,” she said. “A bus owner from Ireland even reached out to say how nice our coaches looked.”

Providing seamless transportation during events as monumental as the Super Bowl is no easy feat. It requires extensive planning, clear communication, adaptability, and a commitment to excellence.
